Privacy notice
This notice explains what information this website collects, why, and what your rights are.
The short version
- You can read this website without telling us anything about yourself.
- We do not use cookies, tracking or advertising.
- If you send us a message, we only use your details to reply.
- We never sell your information or share it for marketing.
Who we are
This website is run by Planet Youth Invergordon, which runs The Clootie Club. We are the “data controller” for the information described here, which means we are responsible for looking after it.
Legal name of the organisation, charity number (if registered with OSCR) and postal address.
Information we collect
When you use the contact form
If you send us a message, we receive:
- your name
- your email address
- your phone number, if you choose to give it
- what your message is about, and the message itself
Please do not include sensitive personal details about a young person in a message. We can talk about those safely in person.
When you visit the website
Like all websites, our hosting provider’s servers briefly record technical information, such as your IP address and the pages requested, to deliver the site and protect it from misuse. We do not use this to identify you.
Cookies
This website does not set any cookies and does not use analytics or tracking tools, so there is no cookie banner.
Why we use your information
We use the details you send through the contact form only to read and reply to your message, and to follow up on what you asked about, for example arranging a conversation about mentoring or a partnership.
Our legal basis under UK data protection law is legitimate interests: we need to use your details to respond to the enquiry you chose to send us.
Who can see your information
Messages are seen only by the people at Planet Youth Invergordon who need to reply to them. We use these service providers, who handle information on our behalf and only as we instruct:
- Netlify, which hosts this website and receives contact form messages. Netlify is based in the United States. Information sent there is protected by safeguards approved under UK data protection law.
- Our email provider, which stores the copy of your message that is emailed to us.
Name of the email provider used for the club’s mailbox (for example Microsoft Outlook).
We will only share your information with anyone else if the law requires it, or if we believe a young person is at risk of harm and our safeguarding procedure requires us to share it.
How long we keep it
We delete contact form messages from our website account within 90 days. We keep email conversations only as long as we need them to deal with your enquiry. If you become a volunteer, partner or supporter, we will tell you separately how we look after your information.
Confirm the 90-day website deletion period and how long emails are kept.
Your rights
You have the right to:
- ask for a copy of the information we hold about you
- ask us to correct anything that is wrong
- ask us to delete your information
- object to, or ask us to limit, how we use it
To use any of these rights, contact us. We will reply within one month. Young people can make these requests themselves, or ask a parent, carer or trusted adult to help.
Making a complaint
If you are unhappy with how we have used your information, please tell us first so we can put it right. You can also complain to the Information Commissioner’s Office (ICO), the UK’s data protection regulator, at ico.org.uk/make-a-complaint or on 0303 123 1113.
Changes to this notice
If we change how we use information, we will update this page.
